Upon finishing the sign up process, you can now customise the system according to your organisational needs. The first step is all about people, so we categorised them according to Asset Type which means the different units/departments/sectors where your people belong to. This might include Admin and Finance, Nursing Unit, Surgical Services, Medical and Maintenance.
The steps below are directed towards setting up the Asset Types you might have in your organisation.
Step 1: Login to your organisation system. You will be taken to the OnePassport Dashboard. It looks like this. Click Comply with your organisation name under it to go to your Dashboard.
Step 2: Click Settings in your Dashboard.
Step 3: Go to Types under People Setup.
Step 4: Click the + sign in the middle.
List the people ‘Type’ you want to add then click Save. By default, the system has 4 people type: Employees, Contractors, Volunteers and Family Members.
You can tick the box to set it as a primary group.
Click the dropdown for Order to set the type’s position in the sidebar menu (the way you want it to be displayed in order like 1 is for the top).
Select the Type Category from the dropdown.
You can also customise the dashboard for that certain type of user. Tick the box for the modules you want the user to have an access with.
Step 5: Click Save once done.
Note: If you do not have a dedicated applicant tracking system you can add Pre-Employment as a people type. Add those candidates that you plan to interview for the position and invite them to join OnePassport. When you choose the successful candidate simply change their ‘Type’ to Employee and reduce onboarding time. Archive the other candidates and they are disconnected from your system but retain their OnePassport for their personal use.
Instructions are available for Roles, Employment/Membership Types and User Permission in other sections.
