Organisations must verify that their staff has current Ahpra records for active practice, ensuring their registration status is up to date. Through the OnePassport Management System, Admin users can set up alerts for expiring and expired staff records. It will pop up in the notifications once it has been set up. And most importantly, if the option to send notifications via SMS or Email is selected, staff can receive timely reminders.

To learn the step-by-step process:
Step 1: Log in and go to Settings. Click System Setup and look for User Alerts.
Step 2: You will see a screen like below. Click the Create button.
Step 3: Fill out the required fields. An example is given below.
* Expiry - This is the duration; if you want to send notification for records expiring in the next 10/30/60/90 days or expired. You can also select "All".
* Asset Type - The department or sector where you want the alert to be applied
Important: Don't forget to tick the boxes for the Email/SMS notification. The system will automatically send reminders to your staff once this has been set up.
-Email notifications are free.
-SMS notifications are an additional paid service, costing 15 cents per text message, and will be charged to your monthly account.
Click Save.
Once saved, the alert will pop in the User Alert list. You can view, edit or delete this.
Here is a sample of the text message that the staff would be receiving in case SMS notification/reminder sending is enabled.
As for the email notification, your staff will be receiving like this:
Step 4: Admin user will also be notified. Check the bell icon at the top right corner of the dashboard.
The notifications will pop up on an off-canvas. Scroll down to filter by Ahpra Alert.
All records related to Ahpra will be shown.
Click the specific record you want to view and the details will be displayed.
